Data Policy
1. Data We Store

2. AI Training
We do not use your personal chat or practice data to train third-party AI models. AI responses are generated in real-time using anonymized context. Your data is never sold or shared for advertising purposes.
Part A — Students Who Purchase Directly (B2C)
This section applies to students subscribed directly to a Speakle student plan (Learner, Speaker Pro, Achiever Elite 🎓) at speakle.ai.
A1. Data Portability
You can download a complete archive of your data at any time via Settings → Export Data. The archive includes:
- Your profile information (JSON)
- Usage summary (JSON)
- Quiz attempt history (JSON + CSV)
- Chat history (JSON)
A2. AI Memory Data (Speaker Pro & Achiever Elite only)
If you are on the Speaker Pro or Achiever Elite plan, your AI coaching memory is stored in our AI memory system and linked to your account. This includes:
- Identified grammar mistakes and learning patterns
- Session preferences and topic history
AI memory data is exclusively yours — it is never shared with teachers, other students, or anyone outside our processing agreement for AI memory. You can reset or delete your AI memory at any time via Settings → AI Memory.
Free and Learner plan users: No AI memory is stored. Your conversations are not retained in any persistent memory layer.
A3. Direct Account Deletion
Upon deletion of a direct student account, all practice history, AI memory, and personal profile data is scheduled for permanent erasure after a 30-day grace period. Billing records are retained for 7 years (tax and accounting compliance).
Part B — Students Enrolled by a Teacher (B2B)
This section applies to students who joined the platform via a teacher-provided invite code.
B1. Data Association
Your account is linked to the teacher's organisation. The following data is associated with your org:
- Assignment submissions and scores
- Class participation stats (aggregated)
- Learning streak and activity status
- Avatar session duration (recorded against the organisation's monthly pool)
B2. AI Memory — Not Enabled for Teacher-Enrolled Students
Teacher-enrolled students do not have AI memory enabled. Your AI chat conversations are processed in real time but not stored in a persistent memory layer.

B4. Subscription Lapse & Data Retention
If your teacher's subscription lapses or is cancelled:
- Your student data is retained for 90 days.
- You will be notified and may be offered the option to migrate to a direct student account.
- After 90 days, your account will be deactivated and data permanently deleted unless migrated.
Part C — Teachers & Institutional Accounts (B2B)
C1. Teacher Data
Teachers' accounts store:
- Profile and branding preferences (bg color, accent, font, logo URL)
- Subscription and billing metadata (retained 7 years for tax and accounting compliance)
- Class roster (linked student
org_idreferences) - Assignment data and grading history
- Avatar pool usage: monthly avatar session records per organisation
- Top-up purchase history: payment order IDs, payment confirmation, minutes purchased
C2. Avatar Top-Up Data
When a teacher purchases avatar top-up credits:
- A purchase record is created in our database with the payment order ID and payment ID.
- On payment confirmation, the organisation's avatar credit balance is incremented.
- This data is retained for 7 years for billing compliance.
C3. Data Portability for Teachers
Teachers can export their full organisation data (student roster, assignment results, analytics) via Teacher Portal → Settings → Export Data.
C4. Teacher Account Deletion
Account deletion follows a 30-day notice period during which student accounts must be transferred or deactivated. Billing records are retained for 7 years regardless of account status. Any unused avatar top-up credits are forfeited after 90 days without an active subscription.
3. Data Breach Notification
In the event of a data breach affecting personal information, we will notify affected users and the relevant authorities within 72 hours as required by applicable law.
4. International Transfers
Our core infrastructure is hosted in the United States and Singapore. Some of our specialist processors operate in other countries. Where personal data is transferred internationally we rely on the safeguards in our agreements with each processor — see the Privacy Policy for details.
5. Security Measures
- All data in transit uses TLS 1.2+.
- Passwords are hashed using bcrypt.
- Database access is restricted by Row-Level Security (RLS).
- Admin access is logged in an immutable audit trail.
